Adding a register item

Starting

Open the register you want — Asset, Liability, Insurance, or Business/Trust — and select
the Register New … button.

A form opens over the screen.

The form for creating an asset register item

Step 1 — Category and Subcategory

Everything starts here, because these two choices decide which fields you are asked for.

  1. Choose a Category — Property, Vehicles, Investments, and so on.
  2. Choose a Subcategory — the options depend on the category you picked, so this stays locked until
    you have chosen a category.

A residential property asks for different things than a share portfolio, and Swish adjusts the form
accordingly.

Take a moment over this. If you pick the wrong subcategory you will be asked for the wrong details.
You can change it, but you may need to re-enter some fields.

Step 2 — Fill in the details

The rest of the form appears in sections you can expand and collapse. Required fields are marked.

Field types you will meet

Type How it works
Text Type freely — names, references
Long text A larger box for notes and descriptions
Number / Amount Figures and money values
Date Pick from the calendar
Dropdown Choose one option
Radio buttons Choose one of a few options, all visible at once
Tick box Yes or no
Toggle On or off. Some toggles turn on a reminder — see below
Register picker Choose a related item from another register — the mortgage on this house, say
List A small table you add rows to — several vehicles on one policy, say. Row totals calculate themselves
File Attach a document — see below

Fields that ask for an address behave a little differently: start typing and pick from the suggestions.

Setting a reminder

Some items can remind you about a date that matters — an insurance renewal, a mortgage fixed-term
expiry.

Look for the reminder toggle rather than the date field itself. Turn it on and Notification
timing
appears beneath it.

A reminder toggle switched on, with the Notification timing options listed beneath it

Tick the lead times you want — they all start selected, so untick the ones you do not need. The
available lead times depend on the kind of item; a typical set is 30 days before, 7 days before,
1 day before, Day of, 1 day after and 7 days after.

See Reminders and notifications.

Uploading documents

The document upload area showing an attached valuation document

Drag files onto Drag & Drop Files to Upload, or select the area to browse. Keep your policy PDF,
your loan agreement, or the valuation with the item they belong to.

The upload area lists what it takes — PDF, Word, XLS, CSV, JPG, PNG, OpenDocument — up to the
size shown as Maximum File Size. Some items ask for a
narrower set, and the area always names the one that applies. Anything else is refused before it
leaves your device, and a red message under the upload area tells you which files were skipped and
why — the rest of your selection still uploads. If a file fails to upload (for example, the
connection drops or you have reached your storage limit), a message pops up briefly, and the file's
name and the reason stay under the upload area until you choose files again. If the upload cannot
start at all — for example, because your data is not unlocked — only the pop-up message appears.

Your documents are encrypted on your device before they are uploaded. Swish cannot read them.
Because of that, you need your passphrase loaded to upload or open one — if you see a message
asking you to unlock your data, refresh the page and enter your passphrase.

Remove a file with the remove control beside it. Before you upload anything you will see
No files uploaded yet.

Linking to other items

Connect this item to related ones — a house to its mortgage and its insurance, a business to its
accounts. See About registers for why this is worth doing.

Confirming a balance

On the Liabilities register, Swish sometimes asks you to confirm the value you have entered — most
often when an amount could be either money you hold or money you owe.

The Confirm your balance dialog with the I am in Credit and I Owe This Amount options

Confirm your balance offers two choices:

EDIT AMOUNT lets you correct the figure. Select CONFIRM when it is right — the dialog notes that
This Ensures Your Financial Data Is Accurate, and it matters because the answer feeds your net worth.

Step 3 — Save

At the bottom of a new item:

Button Does
CREATE Saves and closes the form
+ CREATE & ADD ADDITIONAL INFORMATION Saves and keeps going, so you can add optional detail

Use the first when you have what you need for now. Use the second when you have the paperwork in front of
you and want to capture everything.

When you are editing an item that already exists, there is a single button — SAVE.

If something is missing

Each field that still needs attention shows a short red message directly under it, and the form
scrolls to the first one — opening any section that was closed. Fill those fields in and save again.

Leaving before you finish

If you navigate away with unsaved changes, Swish asks:

The Unsaved Changes dialog offering Discard or Save

Unsaved Changes — You have unsaved changes. Would you like to save them as a draft before leaving?

Choice Result
Save Keeps what you have entered. The item appears tagged Draft and you can finish later
Discard Throws the changes away

Drafts are useful when you are waiting on a document or a figure. Find them in the register list with the
Draft tag and select Edit … to continue.

If Swish shows Saved data could not be refreshed. Retry before making changes., the form can't be saved
until you select Retry. You can still leave: select Close without saving (or the close button), and if
you had entered anything Swish asks Discard your unsaved changes and close the editor?

Tips

Do the important dates first. Renewal and expiry dates with reminders are what stop things slipping.

Use the address lookup. Picking a suggestion is faster and more accurate than typing.

Attach documents as you go. Finding a policy PDF is much easier later if it is on the policy.

Rough beats missing. An approximate value now is worth more than a precise one you never enter. You
can refine it any time.

Link the bank account. For anything with an account behind it, linking keeps the value current
without you touching it. See Linking accounts to registers.
